This article explains the benefits of preloaded codes and how to set them up. PointCentral allows property managers to preload five user codes onto all locks in their Enterprise groups. By preloading these codes, residents and prospective residents can enter the unit without needing to wait for their user code to be sent over the air. So if a lock or hub is offline the system will automatically see this and switch to a preloaded code in the welcome email.
How it works
When preloaded codes are enabled for an Enterprise group, five user codes are automatically sent to any lock that is enrolled within the group. These codes are not affiliated with a user until a resident is moved in through the PMS Sync or on demand process or when a prospective resident books a self guided tour.
To enable preloaded codes using Property Manager Portal:
- Log in to the Property Manager Portal using an Administrator login.
- Using the dropdown menu, select the desired Enterprise group.
- Click Settings.
- Click Access Settings.
- Click Preloaded Codes.
- Click the toggle to enable the feature.
- Once this has been enabled, five unaffiliated user codes will be sent to every lock within the group.
The next time a resident is created either through manual move-in or PMS sync, they will be assigned one of the preloaded codes. Because the code is not being sent over-the-air at the time of the move-in, there will be no wait time between their move-in and use of their user code.
Frequently asked questions
Are the same five user codes sent to all locks?
No. Each lock receives five unique pre-loaded codes.
If there are multiple locks in a unit, will each lock have different preloaded codes?
When a resident is assigned a preloaded code from one of the locks on the unit, that code will then be sent over-the-air to any other locks within the unit.
Will preloaded codes appear differently in the Property Manager Portal?
No. Preloaded codes will appear the same way as other lock user codes.
What happens when a pre-loaded code is assigned to a user?
PointCentral runs a daily check on all locks, and if there are less than five unassigned codes, a new code will be sent down to verify there are always five pre-loaded codes.
What happens to these codes when the resident moves out?
Any unassigned codes will stay on the lock upon moving out. Any codes that were assigned to a user throughout the resident's stay will be removed from the lock once the resident moves out.
